This practical case analysis looks at a self-employed marketing professional planning to move to Spain with a spouse and school-age child. The applicant works for two companies abroad, receives payments in different currencies and uses a payment intermediary for one client. The task is to establish a consistent professional and financial file, then organise the family documents and the stages of the Digital Nomad application. The focus is preparation and the decisions it requires; no individual approval is claimed.
- Applicants
- A self-employed professional, spouse and school-age child.
- Work
- Two foreign client contracts and remote marketing services.
- Key question
- Connect contracts, invoices and receipts, then prepare the family application.
The starting documents
The initial folder contains a business-registration record, two contracts, bank exports and the family’s civil certificates. One agreement describes the marketing services in detail. The other uses a broad consulting description. Receipts do not always equal invoice amounts because of intermediary fees and currency conversion.
We begin with a record of what is known, what is supported by documents and what still needs clarification. The applicant initially proposes using the entire business turnover as income evidence. We distinguish payments for professional work, transfers between personal accounts, expense reimbursements and other transactions before preparing any financial summary.
Two clients require two clear records
For each client, we record the legal name, relationship start date, services, invoicing arrangements and payment method. The required remote-work and relationship evidence is then assessed against the real contractual position. A general services label is clarified through existing records rather than replaced with an invented description.
For the intermediary payment, the key question is how to connect the sender shown on the statement to the client named in the contract. We prepare a focused request for the company and identify any existing settlement records. The intended reader of the file should be able to follow the payment without assuming that an unfamiliar organisation is necessarily the contracting client.
Reconcile income and family documents
A monthly working table connects each invoice to the source-currency amount, actual receipt and identifiable fees. The bank statements and settlement records remain the evidence; the table is an aid to understanding them. Irregular payment dates are explained using the actual billing and settlement information.
We then assess the resources required for the participating family, separately from the family’s moving budget. At the same time, marriage and birth records are checked against passport details. Any name changes or differences in spelling are identified before translation. The other parent’s consent and the child’s personal participation are considered where the procedure requires them.
Put the submission plan in the right order
The place of submission is decided in light of lawful residence or presence and the readiness of the file. A planned visit cannot be based on a certificate that has not arrived. The family schedule therefore records the outstanding items and the date by which each needs to be available.
Social security is assessed as a separate question concerning the principal applicant’s professional arrangement. It is not left until after approval. The family also needs to understand the distinction between a residence decision, biometrics and production of the TIE card, since those stages can involve different appointments and waiting periods.
What the preparation stage achieves
The practical result is a documented professional history, a traceable financial reconciliation and an individual checklist for each family member. Open questions remain visible until evidence resolves them. The competent Spanish authority decides the application, and a prepared file should not be described as an already issued residence card.
The overall planning estimate from four months is discussed in relation to the actual file. A delayed company letter or an additional authority request can change the calendar. When that happens, the family needs a clear explanation of the affected stage and the next action, rather than a replacement date detached from the outstanding work.
Before translations are finalised
We check that the client names, professional periods and service descriptions agree across contracts, letters and invoices. The financial table points to the relevant bank entries and separates amounts that should not be treated as earnings. The aim is one consistent set of source records before the final translated package is commissioned.
We also ask about expected changes. If a contract expires before the proposed submission, future work and income need further assessment. The applicant should disclose that change while preparation is underway, so the file does not describe a professional relationship as continuing after it has ended.
Decisions that help the family plan
The spouses decide whether a joint application or a later family step is intended. That choice affects document preparation and visits. The child’s school calendar and availability of original family certificates are added to the schedule, alongside the principal applicant’s professional evidence.
Housing, deposits and day-to-day living costs are budgeted separately from the program’s financial test. The family can then see the reserve remaining after the move without confusing a personal budget with application evidence. Before submission, the agreed support after filing is also confirmed, including who follows notifications and provides appointment instructions.
The final preparation check
- Both client relationships have a documented history and a clear remote-work description.
- Intermediary payments and fees are connected to the actual contracts and invoices.
- The family’s document, income and personal-attendance requirements are recorded separately.
The applicant keeps the current checklist and a copy of each submission confirmation.
